When we are confident that we fully understand your requirements, we will begin to contact venues and work on your proposal.

When sending your requirements please consider all the following:

1) Your dates and state whether they are fixed or if you can consider alternative dates.

2) Your preferred location or locations and any transport access or parking requirements. Are you open minded and would you like us to suggest some destinations?

3) The profile of your attendees/audience.

4) The event budget including or excluding accommodation.

3) The minimum number of delegates, the maximum number and expected number of delegates.

4) The style of your main meeting room. theatre, cabaret, classroom, U-shape, boardroom.

5) Catering and exhibition space. Will they be in a combined networking area or seperate?

6) Any additional breakout meeting rooms.

7) Accommodation to be guaranteed by client or with an allocation and booking link.

We hold relevant venues on your behalf and prepare a detailed proposal, featuring images, floor plans, room dimensions and an estimated total cost for holding your event.

If you prefer us to input into your own spreadsheet or preferred format, we can arrange this.

Whether you have a limited or expansive budget we will find the best venues available for it.

We start with your budget and we negotiate to get the venue you aspire to.

After you have reviewed our proposal, we can arrange your confirmation or book site inspections to any venues you are interested in.

If you decide to go ahead with any hotel or venue, all that we ask is that you confirm it via us in the first instance. We will then request that the venue issues a contract directly between you and them.

Once the contract is signed, you can deal directly with the venue for planning and preparations, although we will remain on hand to help if needed.

If we do not find a venue you like, it's not a problem and there is no cost or obligation to you.
